Question 1

What kinds of events does EventAssets work for?

Accepted Answer

Any gathering. Weddings, birthdays and parties, private celebrations and corporate events all work the same way, with an event page, a QR code and a shared gallery.

Question 2

Do my guests need to create an account to upload photos?

Accepted Answer

No. Only the event organiser needs an account. Guests simply open your link or scan the QR code and can upload right away — no signup and no app required.

Question 3

Does this replace a professional photographer?

Accepted Answer

No. EventAssets complements professional photography by gathering candid guest perspectives, short videos and moments your photographer may not be there to capture.

Question 4

Who can see my event and its gallery?

Accepted Answer

Only the people you share it with. EventAssets uses an unlisted link or QR code instead of a public directory or password, so nobody can find your event unless you send it to them.

Question 5

Is EventAssets available in my language?

Accepted Answer

Yes. The site and every event page are available in English, German, French, Spanish and Italian, and automatically match your visitors’ browser language.

Question 6

How much does EventAssets cost?

Accepted Answer

Creating your event and the free plan cost nothing. The Unlimited upgrade is a one-time payment of €25 per event; with code EVENTASSETS20 you pay just €20. No subscription, ever. In accordance with Section 19 of the German Value-Added Tax Act (UStG), no value-added tax is charged.

Question 7

Can I try EventAssets before paying?

Accepted Answer

Yes. Create an event free, with no payment details. A free event uses the same link and QR code as a paid one, and every feature works the same way. The free plan caps only the photos and videos, the storage and the guestbook's voice recordings; guest list, RSVP, seating chart, budgets and written entries are included in full. One payment removes the caps.

Question 8

Is it really one-time, or will I be billed again?

Accepted Answer

It’s a single payment per event. There are no recurring charges, no monthly or annual plans, and nothing renews automatically.

Question 9

Is there a limit on guests or photos?

Accepted Answer

There is no limit on guests on any plan, and the guest list, RSVP, seating chart, budgets and written guestbook entries are included in full. A free event collects up to 50 photos or videos within 500 MB, and up to 10 voice recordings; a paid event has neither limit.

Question 10

Are there any hidden per-guest or storage fees?

Accepted Answer

No. There are no fees per guest, and guests are unlimited on every plan. The free plan holds up to 500 MB of photos and videos; the one-time Unlimited upgrade lifts that cap, with no further storage fees. Everything is kept in full original quality.

Question 11

When do my upload and gallery windows actually start?

Accepted Answer

On your event date — or a custom date you choose — never your purchase date, so you can buy early without losing a single day of your upload or gallery window.

Question 12

Do my guests need to download an app?

Accepted Answer

No. Guests just open your link or scan your QR code and can upload right away — nothing to install.

Question 13

How long can guests upload, and how long does the gallery stay online?

Accepted Answer

Guests can upload for 3 months after your event, and the gallery itself stays online and shareable for 1 year.

Question 14

Can I control what appears in the gallery?

Accepted Answer

Yes. Built-in moderation lets you review and remove any upload before or after it appears, so the gallery always reflects what you want guests to see.

Question 15

Can I download all the photos and videos at once?

Accepted Answer

Yes. As the event owner, you can request a ZIP download of your entire gallery in full original quality at any time — perfect for keeping a complete backup. Each download stays available for 3 days, and you can request a new one anytime after that.

Question 16

Where can I share the QR code and link?

Accepted Answer

Add the QR code to invitations, table cards, signs or other printed material, and share the same link digitally. Guests scan the code or open the link to upload from their browser.

Question 17

How can guests who couldn’t attend see the photos?

Accepted Answer

Share the unlisted gallery link whenever you’re ready. Anyone with it can browse the photos and videos during the 1-year gallery window.

Question 18

Can I play a slideshow of the gallery at my event?

Accepted Answer

Yes. Guests can start a full-screen slideshow of the gallery straight from the event page. It cycles through photos and videos automatically and picks up new uploads as they arrive, which works great on a TV or screen at the venue.

Question 19

Can guests react to and comment on photos?

Accepted Answer

Yes. Guests react to any photo or video with an emoji and comment on it, right in the gallery on your event page, without an app or an account. Both are allowed for a new event; you can turn either off in the Media tab, and only you can delete a comment.

Question 20

What does Guests & RSVP do?

Accepted Answer

You build a guest list in your event, add an RSVP section to your event page, and guests reply attending or not attending for everyone in their party. You can ask custom questions, set a deadline, follow live stats, seat guests at your tables and export everything as CSV.

Question 21

Do my guests need an account or an app to RSVP?

Accepted Answer

No. Guests open your event link or scan the QR code, choose their name from the guest list and reply straight from the browser. Only you, the organiser, need an account.

Question 22

How do guests respond?

Accepted Answer

On your event page they select Find your name and choose themselves from the guest list; their party appears, and they tap attending or not attending for each person, answer your questions and save. The page remembers their name, so they can come back and change the reply until the deadline.

Question 23

Can I group families, couples and plus-ones together?

Accepted Answer

Yes. A party is a main guest plus any companions, such as a partner, children or a plus-one. Guests reply for the whole party in one go, and deleting a party removes everyone in it.

Question 24

Can I ask my own questions?

Accepted Answer

Yes. Add up to 20 questions per event — free text, number, single choice or multiple choice — mark any as required and reorder the options. Editing a question keeps the answers you already have; deleting one shows you exactly what will be removed.

Question 25

What happens when the RSVP deadline passes?

Accepted Answer

Guests see that RSVPs are closed and can no longer reply or edit. You can still add guests and change any response yourself. The deadline defaults to your event start, and you can set any date, time and timezone or leave it open-ended.

Question 26

Can a guest change their answer later?

Accepted Answer

Yes. Guests open the page again, which remembers their name, and update attendance or answers any time before the deadline. As the organiser you can also set, change or clear any response.

Question 27

How do I see who's coming?

Accepted Answer

Your dashboard shows total, attending, not attending and pending as a distribution bar, plus per-question stats: counts and percentages for every option and sum, average, minimum and maximum for number questions, all based on attending guests.

Question 28

Can I export my guest list and RSVP responses?

Accepted Answer

Yes. Download the full guest list with each person's party, attendance status, table and every answer as a CSV file, ready for caterers, place cards or your own spreadsheet.

Question 29

Is Guests & RSVP free?

Accepted Answer

Yes. Guest list, RSVP, custom questions, stats and CSV export are included with every event, free or paid, with no limit on guests.

Question 30

Can I manage RSVPs from the mobile app?

Accepted Answer

Yes. The app shows your guest list, live stats, each guest's attendance and their answers, and lets you toggle attendance. Questions and the deadline are set in the RSVP view of the Guests tab, in the app just as on the web.

Question 31

How does the seating chart work?

Accepted Answer

Add the tables of your room with their shape and seats and drag them to where they stand. Then seat your guests by dragging a guest or a whole party onto a table. When the chart is ready, show it on your event page, and guests look up their table by name.

Question 32

How do guests find their table?

Accepted Answer

Once the Seating section is on your event page, guests choose their name, as for RSVP, and the chart zooms to their table and the tables of their companions, marked, with their initials on the chairs and the name on hover or tap. They need no app and no account, and the lookup stays open after the RSVP deadline.

Question 33

Can I seat a whole party at once?

Accepted Answer

Yes. Drag the party by its name onto a table and everyone who still needs a seat is seated there, as long as the table has enough free seats. Companions can also be moved one by one.

Question 34

What happens when a guest declines after being seated?

Accepted Answer

They keep their seat until you remove it: open their menu and choose Unseat. Guests who declined are not counted as waiting for a seat, so your totals stay right.

Question 35

Can I print the seating plan?

Accepted Answer

Export your guest list as a CSV file: every guest carries the name of their table, ready for place cards, the caterer or your venue. The chart itself stays on your event page for guests.

Question 36

How many tables and seats can I have?

Accepted Answer

Up to 100 tables per event with 1 to 50 seats each. Every table has a name of its own, so the chart stays readable however large the room.

Question 37

Is budget tracking included for free?

Accepted Answer

Yes. It’s built into every event, free or paid, at no extra cost — create as many budgets and line items as you need.

Question 38

Can I split my spending into separate budgets?

Accepted Answer

Yes. Create as many budgets as you need and use them for areas like venue, catering, or anything else that makes planning easier.

Question 39

Can I compare what I planned to spend with what I actually spent?

Accepted Answer

Yes. Add a planned amount and, when you have it, the actual amount for each line item. EventAssets shows both totals and highlights when spending goes over budget.

Question 40

Can I set due dates and mark expenses as paid?

Accepted Answer

Yes. Set a due date on any line item — upcoming and overdue payments are highlighted automatically — and mark items as paid with a single tap once they’re settled.

Question 41

Can I add notes to an expense?

Accepted Answer

Yes. Add notes to any line item to keep details such as supplier information, payment instructions, or reminders with the cost.

Question 42

Can I edit or reorder my budgets and expenses?

Accepted Answer

Yes. Rename, edit, or remove budgets and line items whenever you need, then drag them into the order that works best for you.

Question 43

Can I export my budget?

Accepted Answer

Yes. Export every budget and its line items — names, notes, planned and actual amounts, due dates and paid dates — as a CSV file to open in any spreadsheet.

Question 44

What is the Guestbook?

Accepted Answer

A section of your event page where guests write a message or record a voice note, signed with their name or anonymously, with no app or account. Every entry arrives in your Guestbook tab, where you show it on the page, hide it or delete it, and the collection stays with your event.

Question 45

Can guests leave a voice message?

Accepted Answer

Yes. A guest taps Record on the event page, records up to three minutes in the browser, listens back and sends it. Recordings play in your Guestbook tab and, once shown, on the event page; nothing is installed.

Question 46

Is the Guestbook free, and is there a limit?

Accepted Answer

Written entries are free on every event. A free event takes up to 10 voice recordings; the one-time upgrade removes that limit together with the media limits.

Question 47

Can I review entries before they appear on the event page?

Accepted Answer

Yes. Choose to review each new entry first and it waits in your Guestbook tab until you show it, or let entries show at once. You can hide or delete any entry later, recording included.

Question 48

Can guests sign anonymously?

Accepted Answer

Yes. A guest who chose their name on the event page signs with it; without a name the entry says “A guest”. Both show the same way to you and to your guests.

Question 49

How long can guests write in the guestbook?

Accepted Answer

As long as your event page is online. There is no deadline: guests write before the day, on the night and in the weeks after. You can switch writing and recording off at any time while the entries stay.

Question 50

When will Playlist be available?

Accepted Answer

Playlist is coming to EventAssets later this year.

Question 51

What does a partner code unlock for my client?

Accepted Answer

The Unlimited upgrade for one event, worth €25: unlimited photos, videos and storage. Every other feature is already free, so nothing else is held back. Your client pays nothing at checkout. In accordance with Section 19 of the German Value-Added Tax Act (UStG), no value-added tax is charged.

Question 52

How does my client redeem a code?

Accepted Answer

They create a free EventAssets account and event, open Upgrade on the event and continue to checkout. In Stripe Checkout they choose “Add promotion code” and enter the code. The total drops to €0.

Question 53

How long are partner codes valid, and are they tied to an account?

Accepted Answer

Codes are valid until 31 December of the third year after purchase. Each code can be used once and works with any account, so you can hand it to any client.

Question 54

Do I earn a commission, or does my client pay anything?

Accepted Answer

Neither. You prepay a bundle at partner rates and gift the codes. There is no commission to track, no payout and nothing for your client to pay. The saving is yours to keep or to pass on.

Question 55

Who can buy partner bundles, and can I use codes for my own events?

Accepted Answer

Any EventAssets account can buy a bundle from the partner dashboard, no application needed. Codes work on any event, including your own, and you can buy as many bundles as you like. For larger volumes, email hi@eventassets.com.
