What a WhatsApp group does well
For many events, the group exists before anyone thinks about photos: the family chat, the team chat, the group the friends of the couple started for the planning. Guests are already in it, so sending a picture there takes no new step at all. WhatsApp is free to use, and a new group is easy to join: an admin shares an invite link or a QR code, and admins can choose to approve new members before they join.
A group is also more than a place for pictures. Members send voice messages and video notes, and a member can create an event in the group that the others answer, saying whether they are going, maybe going, or bringing a guest. For a dinner among friends or a small reunion, that can be all the planning a gathering needs.
Photos and videos can be sent in HD quality, chosen for each item or set as the default, and longer or larger files can go as a document. The pictures land in the same thread as the jokes, the directions and the plans for the evening, which is often exactly where people want to see them.
If your guests already talk in one group and the pictures are part of that conversation, WhatsApp does that well, without asking anything new of anyone.
What changes with EventAssets
WhatsApp's own help pages describe how a group handles media, and it is worth knowing before the day. Media files are usually compressed when shared, so they may arrive in lower quality than the original, and the connection affects quality even when a photo is sent in HD. Each guest needs the app and an account, created with a mobile phone number. The photos are kept on the members' phones and in their own backups, and people who join through an invite link or QR code do not see the messages from before they joined. To gather everything in one place, someone exports the chat: on iPhone the export can include all media in a ZIP file, on Android it attaches the most recent media.
EventAssets is built for collecting. Guests open a link or scan a QR code and upload in the browser, with no app and no account, so guests who do not use WhatsApp take part just the same. Photos and videos are kept in original quality, in one gallery with albums, and you can approve each upload before others see it. Everyone with the link sees the same gallery, whenever they arrive, and you download it all at once as a ZIP. During the event, a full-screen slideshow picks up new uploads on a screen at the venue.
Around the gallery sits the rest of the event: a page with the schedule and the location on a map, replies for each party with your own questions and a deadline, a seating chart, budgets, and a guestbook for written messages and voice recordings. What EventAssets is not is a chat: guests do not talk to each other there, and the conversation of the evening stays wherever your guests already have it.
A conversation, or a collection
The core difference is what each one is for. A WhatsApp group is a conversation: pictures arrive between messages, in the order they were sent, and they live wherever the members keep their chats. That suits the evening itself, when people want to share a moment and react to it straight away. EventAssets is a collection: every photo and video goes to one gallery that belongs to the event, sorted into albums, kept in the quality it was uploaded in, and there for you to download and to share with the people who could not come.
You do not have to choose one. Post the link or QR code of your event page in the group: the conversation stays in WhatsApp, and the files go to the gallery. A short line helps, such as "please add your photos here, so we have them in full quality", sent again a few days after the event, when guests sort through their pictures. The guide to collecting guest photos has more on getting guests to send them.
What to check before you decide
Think about what the pictures are for after the day. If they are part of the conversation, a group may be all you need. If you want an album to keep, print or pass on, check a few things first. Does every guest have WhatsApp, and will everyone join the same group? Is the quality that arrives the quality you want for prints? How will you get everything off the members' phones, and should guests who join late see what came before? Do you want to approve uploads before others see them? If the answers point to a gallery, try it: on EventAssets, you set up the event page and the gallery and share the link before you pay anything.
